How to use Event Video Conference Calls

In an AireXpert Event, all users have the ability to begin & participate in a Conference Call.

In an AireXpert Event, all users have the ability to begin and participate in a Video Conference Call.

Video Conference Calls allow all users who have access to the Event to participate in a voice and/or video group call.

The primary benefit of AireXpert Video Conference calls is the ability to have the technician using the AireXpert app share a real-time video feed directly with other users using AireXpert on a desktop.

Start New Video Conference Call

Video Conference calls can be initiated by both Desktop and App users following the same steps.

Important: To keep conversations organized, Video Conference Calls are always linked to a specific Event in AireXpert. This means that Calls can only be started from inside an Event.

(a) To begin a Video Conference Call, locate the Event that you would like to begin the call for.

(b) Once you’ve located the Event you would like to start a Video Conference Call on, click/tap on the Event to access the Event Hub.

(c) Once you’re in the Event Hub for the Event you would like to begin a Video Conference Call on, click the blue ‘Start Call’ button.

If this is your first time using Video Conference Calls, you will be required to add your profile preferences.


You can:

1. Receive incoming call notifications in your browser (as browser notifications).

2. Receive incoming call notifications on your mobile or desk phone (will ring as a normal phone call).

Simply select your preference, then enter the number of the device you would like to associate with your account and click the blue ‘confirm settings button’


(d) To confirm you’d like to initiate a call, click the blue ‘Start Call’ button, this will begin the Video Conference Call.

(e) Once you begin the Video Conference Call, users who have access to the Event will be notified through browser or in-app notifications and will be able join the Video Conference Call.


Joining Video Conference Calls

(a) To join a video conference Call, locate the Event an active call has been initiated on.

  • You can locate an Event with an Active Call by looking for the Green ‘Live Now’ indicator at the bottom of an Event Card.

(b) Once you’ve located the Event with an Active Video Conference Call, click/tap on the Event to access the Event Hub.

(c) Once you’re in the Event Hub for the Event with an Active Video Conference Call, click the blue ‘Join Call’ button in the top right corner of the page to join and participate in the call.

  • When an Event has an Active Conference call, the button previously labeled ‘Start Call’ will now be labeled ‘Join Call’

(d) Once two or more users have joined the Call, the call will begin.

  • For Users on desktop, an audio/video window will appear in the Event Timeline and call options (like mute Microphone and End Call) will display in the top right corner of the screen.

  • For Mobile App users, a calling screen will display on their device similar to their device's native calling app.


Participating in Video Conference Calls

(a) Once two or more users have joined the call, the Video Conference Call will begin.

(b) By default users can use the voice chat function to communicate with each other verbally.

(c) On the Mobile App, Users have the ability to turn on their camera by clicking the ‘Camcorder’ Icon in the bottom left corner of their screen.

(d) Once a Mobile user turns on their camera, they will be able to share a real-time video feed of exactly what they're seeing on their end.

(e) On desktop, this video feed will be displayed in a window in the Event Timeline.


Ending Video Conference Calls

(a) To leave the Video Conference Call, each user should use the Red “Phone” Icon - this will let that user leave the call.

(b) Conference Calls do not end when the user who initiated the call leaves, they will only end when all active participants leave the call.

  • This is to prevent a Video Conference Call ending unintentionally if the initiator leaves but others are still participating.

(c) Once all users leave the call, the Call will end.

(d) Once the call has ended the call recording and any video shared will be uploaded into the timeline, visible for future reference.
